Who is responsible
EM Gurus runs Portfolio Guru and is responsible for your data. Privacy questions: help@portfolioguru.app
What we hold
- Your case notes, which are health data, and your Kaizen account details.
- Your Kaizen login details, encrypted, and never sent to the AI.
Why, and on what basis
To draft your RCEM and Kaizen forms, only with your explicit consent (UK GDPR Article 9(2)(a)) and to provide the service you signed up for (Article 6(1)(b)).
Who it is shared with
- Google Gemini on Vertex AI, UK (London), to draft your forms.
- Kaizen, when you approve a save.
Connecting to Kaizen
You can sign in on Kaizen's own page through our browser, so you do not type your password in the chat; we keep only the signed-in session, encrypted, until Kaizen ends it (about a day). If you choose to share your login in the chat instead, your password is stored encrypted.
What we strip, and what we keep
- Before the AI sees your text we remove NHS, hospital and record numbers, dates of birth, phone numbers, emails, postcodes, addresses, titled names (Mr, Mrs, Dr), hospitals and wards. Other names can slip through, so leave patient identifiers out.
- Files you attach go to Kaizen unchanged, so check them first.
- A case in progress is kept for 24 hours at most. Voice and attachment files are deleted once read. No case text is kept beyond 180 days.
Your rights
You can see, correct, restrict, move or erase your data. Send /reset in the bot to withdraw consent and erase it. You can also complain to the ICO: ico.org.uk/make-a-complaint
Drafts only: Portfolio Guru never submits anything to a supervisor. Please do not send patient-identifiable details.
